Kavi Members includes a large number of tools for managing your organization's members. Not all tools are accessible to all people. Some tools are only available to highly privileged users. Some are only available for organizations with a particular structure or feature set. Others appear only on the administrator's Manage a User and Manage a Company pages when appropriate.

This index includes a list of the major Kavi Members tools. The information shown for each tool includes:

  • A brief description of what the tool does.

  • Display criteria, explaining the criteria that must be met for the tool to be available on the web site.

  • Links to the tool. All links are for this site, and should be preceded by the web site's URL if typed in. For example, when a link below is printed as /kmembership_info/, you would type in http://www.example.org/kmembership_info/ as the URL for this page on the example.org web site.

This index is provided for support staff who work with more than one web site or installation of Kavi Members. The index is intended to help support staff understand why two different web sites may have different Kavi Members tools available, factors that can keep one user from seeing a tool visible to another user, and where to find all the tools provided by Kavi Members.

Kavi Members Publicly Accessible Tools

All the pages in this section are available to the public. There is a menu of publicly available tools on the Membership Information page.

Company Representative Signup

Company representative's use this page to get an account on the web site. To get a new company representative account, the representative's company must first have an active account with the organization.

Display Criteria

  • The organization must have company members.

Company Membership Signup

Company's can apply for membership using this tool. Company membership applications can be moderated and bills can be issued for membership fees.

Display Criteria

  • The organization must have company members

  • The Kavi Members signup features must be turned on.

  • The organization must be set up to offer new memberships to the public.

Individual Membership Signup

People can apply for membership using this tool. Individual membership applications can be moderated and bills can be issued for membership fees.

Display Criteria

  • The organization must have individual members

  • The Kavi Members signup features must be turned on.

  • The organization must be set up to offer new memberships to the public.

Membership Status

This tool shows a membership applicant the status of their membership application. Links to pay membership fees and other instructions are also provided. Membership applicants are take to the Membership Status tool as soon as they complete their membership application.

Display Criteria

  • The Kavi Members signup features must be turned on.

  • The person accessing the page must use a special link that identifies which membership application they want to review.

Membership Renewal

This tool tells existing and previous members how to renew their membership. Current members get instructions to log in. Inactive members can receive a link to renew their membership by email.

Display Criteria

  • The Kavi Members signup features must be turned on.

  • The organization must be set up to offer memberships to renewing members.

Membership Renewal Form

These forms allow lapsed members to renew their membership without having to log in to the members-only area.

The membership renewal form is not linked to directly anywhere on the web site. This form is only available to members through a link sent by email. Additionally, this email link is only sent to people who have a membership that can be renewed.

Display Criteria

  • The Kavi Members signup features must be turned on.

  • The organization must be set up to offer memberships to renewing members.

Links

Password Help

The password help page helps users who have lost or forgotten their password gain access to the members-only area. Active users are sent a login link by email which allows them to reset their username and password then log in.

Display Criteria

  • The Password Help tool is always available.

New Password Form

The new password form lets new users or users who have forgotten their password to reset their username and password. Once the user selects a new username and password, they can login to the members area of the web site.

The New Password Form can only be accessed through a login link sent to active users by email. There are no direct links to the New Password Form anywhere on the web site.

Kavi Members User Tools

All the pages in this section are available to active users. These tools are accessed through the My Account page

Edit You Account

Each user is encouraged to keep his or her contact information up-to-date. Users can update their email address, phone numbers, title, and preferences using the Edit Your Account page.

Display Criteria

  • The Edit Your Account tool is always available.

Change Password

Active users can change their password at any time.

Display Criteria

  • The Change Password tool is always available.

Manage Memberships

An individual member can review their membership history using this tool. Each membership that they've held with the organization is displayed. If any of these memberships can be renewed, a button appears for the member to renew that membership.

Display Criteria

  • The organization must have individual members.

  • The user visiting this page must be an individual member and must have one or more memberships with the organization.

  • For the member to renew their membership, the Kavi Members signup features must be turned on.

  • For the member to renew their membership, the organization must be set up to offer memberships to renewing members.

Company Roster

This is a roster of other users from the logged-in user's company. The users shown in this roster will be limited to those who have chosen to share their information.

Display Criteria

  • The display_user_roster configuration option must be Yes.

  • If the user is an individual member, the hide_from_individuals configuration option must also be Yes.

Kavi Members Company Tools

All the pages in this section are available to users with the company_admin role. Typically, this role is only granted to Primary Contacts or Company Admins. These tools are accessed through the My Company page.

Edit Your Company's Account

This page allows a company administrator to edit the company's URL, address, and other basic information.

Display Criteria

  • The Edit Your Company's Account tool is always available.

Company Roster

Company administrators can review and download information about other users from their company. Links to edit, delete, and sometimes add new users to the company are provided on the company roster.

Display Criteria

  • The Company Roster is always available.

Add a User

Company administrators can add new company representatives.

Company administrators access this tool by first visiting the Company Roster then clicking the Add User link at the top of the roster.

Display Criteria

  • The company_add_user configuration option must be Yes.

  • The company administrator must be a company representative from a member company. Company administrators for staff companies or companies for individuals cannot add users here.

Edit a User

Company administrators can edit the names, contact information, and company administration and contact types for other users from their company.

Company administrators access this tool by first visiting the Company Roster then clicking the Edit link next to the user they want to edit.

Display Criteria

  • The Edit a User tool is always available.

Delete a User

Company administrators can delete other users from their company. This tool makes it easy for company administrators to remove people who no longer work with the company or who in some other way should no longer be considered appropriate company representatives.

Company administrators access this tool by first visiting the Company Roster then clicking the Delete link next to the user they want to edit.

Display Criteria

  • The Delete a User tool is always available.

User Activity History

Every time a user's account is changed, an entry is added to the log. Company administrators can see a log of all the users who have been added for their company and the last time their accounts were updated.

Manage Memberships

A company administrator for a member company can review the company's membership history using this tool. Each membership that they've held with the organization is displayed. If any of these memberships can be renewed, a button appears for the company administrator to renew that membership.

  • The organization must have company members.

  • The user visiting this page must be representing a company member that has one or more memberships with the organization.

  • For the administrator to be able to renew the company's membership, the Kavi Members signup features must be turned on.

  • For the administrator to be able to renew the company's membership, the organization must be set up to offer memberships to renewing members.

Kavi Members Directories and Rosters

Member directories and rosters can be installed anywhere on a web site. Each web site may have many rosters and directories, or none at all. Because rosters and directories may be anywhere on this site, no links are provided directly to the tools below.

The tools for a specific directory or roster depend on whether it is a directory or a roster and whether it displays user information, company information, or both. All of the tools listed below are only available to Super Admins.

Limit Companies

This configuration tool allows super admins to set which companies will be available in the roster or directory based on search criteria.

Display Criteria

  • The roster or directory must be configured to include company information.

Limit Users

This configuration tool allows super admins to set which users will be available in the roster or directory based on search criteria.

Display Criteria

  • The roster or directory must be configured to include user information.

Configure Company Directory

Super admins use this tool to configure the information about companies that is made available in a company directory.

Display Criteria

  • The installed tool must be a directory rather than a roster.

  • The directory must be configured to include company information.

Configure User Directory

Super admins use this tool to configure the information about users that is made available in a user directory.

Display Criteria

  • The installed tool must be a directory rather than a roster.

  • The directory must be configured to include company information.

Configure Roster

Super admins use this tool to configure the way a roster is displayed.

Display Criteria

  • The installed tool must be a roster rather than a directory.

Manage Status

The status of a roster or a directory sometimes needs to be toggled after installation is complete.

Edit Text

This tool includes fields for setting the roster or directory title and adding custom messaging to roster or directory pages.

Kavi Members Reports

Reports are available to Report Administrators, Organization Administrators, and Super Administrators. These tools are accessed through the Reports and Downloads page

User Data Report

This report includes data stored about users, including contact information, company affiliation, and types.

Display Criteria

  • The User Data report is always available.

User Addresses

This report includes user mailing addresses that can be downloaded and used to generate mailing labels.

Display Criteria

  • The User Addresses report is available if the collect_person_address configuration option is Yes.

Individual Membership Report

This report includes membership information for individual members.

Display Criteria

  • The organization must have individual members.

  • The Kavi Members membership features must be turned on.

Company Data Report

This report includes data stored about company, including contact information and types.

Display Criteria

  • The Company Data report is always available.

Company Addresses

This report includes company mailing addresses that can be downloaded and used to generate mailing labels.

Display Criteria

  • The Company Addresses report is available if the collect_company_address configuration option is Yes.

Company Membership Report

This report includes membership information for company members.

Display Criteria

  • The organization must have company members.

  • The Kavi Members membership features must be turned on.

User Activity History

This report shows changes to user information over time.

Display Criteria

  • The User Activity History report is always available.

User Activity Log

This report shows changes to user information over time in more detail than the User Activity History.

The User Activity Log is not linked to directly from the web site. To access this report, first visit the User Activity History then click the link in the text at the top of the search form.

Display Criteria

  • The User Activity Log report is always available.

Company Activity History

This report shows changes to company information over time.

Display Criteria

  • The Company Activity History report is always available.

Company Activity Log

This report shows changes to company information over time in more detail than the Company Activity History.

The Company Activity Log is not linked to directly from the web site. To access this report, first visit the Company Activity History then click the link in the text at the top of the search form.

Display Criteria

Full Activity Log

This report shows all the changes to the database over time and includes a lot of very technical detail.

Companies Over Time

Companies are added and removed from this graph as they are activated and deactivated.

Users Over Time

Users are added and removed from this graph as they are activated and deactivated.

Users and Companies by Type

This graph shows the number of users or companies by type.

This graph plots the number of memberships expiring over time.

Kavi Members Admin Tools

Admin Tools are available to Organization Administrators and Super Administrators. These tools are accessed through the Admin Tools page

Add a User

Administrators can add a new user to the database.

Display Criteria

  • The Add a User tool is always available.

Manage a User

Manage a User is the central interface for administrators work with existing users. The Manage a User page shows all information about the existing user and provides all available links for updating that user's account.

Display Criteria

Edit a User

The Edit a User tool allows administrators to edit user contact information, preferences, and types.

The Edit a User tool is accessed through the Manage a User tool.

Display Criteria

Change Username and Password

Administrators can create a new username and password for a user and/or send the user a login link.

The Change Username and Password tool is accessed through the Manage a User tool.

Change User Status

This tool activates and deactivates users, which controls their ability to log in to the web site and receive members email.

The Change User Status tool is accessed through the Manage a User tool.

Add User Activity Record

Administrators can add dated notes to a user's activity history. These notes are then entered into the user's permanent record.

The Add User Activity Record tool accessed by first clicking the 'View Activity History' link on the Manage a User tool then clicking the 'Add User Activity Record' link at the top of the form.

Display Criteria

  • The Add User Activity Record tool is always available

Delete a User

The Delete a User tool allows administrators to permanently remove a user's record from the database.

The Delete a User tool is accessed through the Manage a User tool.

  • The Delete a User tool is always available.

Add an Individual Membership

This tool lets administrators add an available membership for an individual member.

The Add an Individual Membership tool is accessed through the Manage a User tool.

Display Criteria

  • The organization must have individual members.

  • There must be memberships available to this user. Usually this means that the user doesn't yet have an assigned membership or that the organization offers multiple memberships to individuals at once.

Edit an Individual Membership

This tool lets administrators edit one of an individual's exiting memberships. Administrators edit memberships to correct the membership dates, indicate whether the member will be renewing, and updating additional information tracked with the membership.

The Edit an Individual Membership tool is accessed through the Manage a User tool.

Display Criteria

  • The organization must have individual members.

  • The user must have an existing membership. Memberships in any state can be edited.

Renew an Individual Membership

Memberships that have or will soon expire can be renewed by administrators.

The Renew an Individual Membership tool is accessed through the Manage a User tool.

Display Criteria

  • The organization must have individual members.

  • The user must have an existing membership. The membership must be either current, expired, or archived, and must not have already been renewed.

Delete an Individual Membership

This tool lets administrators delete an existing membership.

The Delete an Individual Membership tool is accessed through the Manage a User tool.

  • The organization must have individual members.

  • The user must have an existing membership. Memberships in any state can be deleted.

Add a Company

Administrators can add a new company to the database.

Display Criteria

Manage a Company

Company representatives that apply for new accounts can be sent for an administrators approval. This tool provides a way for administrators to see and edit all the details for a single company representative application, then approve that application.

The Manage a Company Representative Application tool is accessed by clicking the 'Manage Application' link on the Company Representative Applications bulk-moderation form.

Display Criteria

  • The organization must have company members.

  • The company representative signup process must be configured to hold some account applications for moderation.

Edit a User (for Pending Users)

Administrators use this tool to update the company, contact information, custom details and preferences of pending users before they are approved and added to the database.

The Edit a User tool for updating pending users can only be accessed by clicking the 'Edit' link when reviewing a pending user's account or membership application. For example, to edit a pending company representative's account, an administrator would first find the company representative's application on the Company Representative Applications page, then click Manage Application, then click Edit.

Display Criteria

  • The organization must have company members.

  • There must be a pending user with information for the administrator to review.

Edit a Company (for Pending Companies)

Administrators use this tool to update the address, custom details and preferences of pending companies before they are approved and added to the database.

The Edit a Company tool for updating pending companies can only be accessed by clicking the 'Edit' link when reviewing a pending company's account or membership application. For example, to edit a pending company's account, an administrator would first find the company's application on the Company Membership Applications page, then click Manage Application, then click Edit. A company submitted by an individual member can also be edited by clicking the company's name on the individual's membership application.

Display Criteria

  • The Kavi Members signup feature must be on.

  • There must be a pending company in the database.

Send Simple Email

This tool lets the administrator send email from the Kavi Members administrative email address to any email address or mailing list.

Display Criteria

  • The Send Simple Email tool is always available.

Send Template Blast to Users

This tool sends a rendered email template to a selected group of users. The email templates available through this tool are targeted at users, using information from the user's account to fill in any template variables.

Display Criteria

  • The Send Template Blast to Users tool is always available.

Send Template Blast to Company Representatives

This tool sends a rendered email template to a selected group of company representatives. The email templates available through this tool are targeted at companies, using information from the company's account to fill in any template variables.

Display Criteria

  • The Send Template Blast to Company Representatives tool is always available.

Manage Templates

Administrators can customize the email sent from Kavi Members and add new templates for use in email schedules or when sending template blasts. This tool shows the administrator all the templates in the system and provides links to update them.

Administrators use this tool to add new templates for use in email schedules or when sending template blasts.

Administrators use this tool to edit the email and page templates used by Kavi Members.

Administrators use this tool to delete custom email templates that are no longer used.

View Email Notification Schedules

Email notifications can be sent automatically to company representatives, administrators, individual members, and company membership applicants. This tool shows administrators all of the email that is scheduled to go out.

Kavi Members Super Admin Tools

Super Admin tools are used to configure Kavi Members to best support the business rules of the organization. Super Admin Tools are available only to Super Administrators. These tools are accessed through the Super Admin Tools page

Set Organizational Properties

Organizational properties include the organization name, type, and basic information collected about users and companies.

Display Criteria

  • The Set Organizational Properties tool is always available.

Configure Privacy Options

This tool determines the availability of user and company email and privacy preferences and how these options are interpreted by rosters and directories.

Display Criteria

  • The Configure Privacy Options tool is always available.

Manage Activity Types

This tool allows organizations to add custom activity types for use in the user and company activity history reports.

Display Criteria

  • The Manage Activity Types tool is always available.

Configure Kavi Members: All Options

This tool shows the database names of all configuration options, including some rarely-used options which can only be set here. This tool is intended only for highly trained users.

Display Criteria

Delete Logs

Deleting old activity history and full logs can free up storage space on the web site server.

Display Criteria

  • The Delete Logs tool is always available.

Upload Data

New users and companies can be imported into the database using the Upload Data tool. The Upload Data tool can also be used to update existing users and companies in bulk.

Generate Login Keys

This tool resets the login keys for all the users in the database.

Change Company Purpose

Super administrators can reset a company's purpose, which also resets the purpose of all the company's users and can change the status of any of the company's existing memberships.

Manage Company Membership Types

This tool provides Super Administrators with an overview of the existing company membership types and links to manage them.

Display Criteria

  • The organization must collect company members.

  • The Kavi Members membership tracking feature must be turned on.

Add Company Membership Type

Super Administrators can add a new company membership type with this tool.

The Add Company Membership Type tool is accessed through the Manage Company Membership Type tool.

Super Administrators can edit an existing company membership type with this tool.

Super Administrators can edit an existing company membership type group with this tool.
