Chapter 16. Issuing Membership Bills

Overview

Kavi Members coordinates with Kavi Billing to present membership applicants with an online bill for new memberships. The membership fee, description, and additional information is set in Kavi Members when definining the membership types for the organization. Kavi Billing takes care of formatting the bill and receipt, sending billing email, and providing payment instructions to members. The billing system can also be connected to an ecommerce engine to process credit card membership payments online.

When using ecommerce, a membership applicant may be able to apply for a membership, pay online, and receive a password—all within just a few minutes.

If membership applications are moderated and membership bills paid using manually processed payment methods, there may be a considerable amount of time between when the member first applies and when the membership finally becomes current.

Prorated Fees, Refunds, and Cancellations

Prorated Fees

Each membership type can have a membership fee. If the membership type has fixed dates (January 1 to December 31 each year, for example) the membership fee can be prorated. The membership fee for a prorated membership is determined when the bill is issued, as fees are prorated daily.

Example 16.1. A Prorated Membership Fee

A Board membership's term is from January 1 through December 31, and costs $2000. Company A applies for Board membership and is issued a membership bill on February 2. Company A must pay $1825 to acquire its Board membership. Company A's Board membership will be good from February 2 through December 31.

Refunds and Cancellations

Every membership has a link to manage the membership bill that was issued for it. If an administrator needs to issue a full or partial refund for a paid membership fee, clicking the link to manage the bill will take the administrator to tools designed to issue refunds or cancel the bill altogether. If the bill was paid online with a credit card recently enough that the credit card transaction is still available in the system, a refund for that bill will automatically issue a credit to the members credit card.

Cancelling or refunding a bill for a membership does not change the membership's state. If an administrator wants to modify the membership's expiration date or remove a membership application in conjunction with cancelling the bill, the administrator will need to do this separately using the Kavi Member's tools for editing and deleting memberships.
