Chapter 6. The Purpose Field

Overview

The purpose assigned to a company or user determines how that company or user is managed in Kavi Members. For example, a company or user might be able to sign up for membership through a public signup form, whereas allowing administrative staff to sign up for accounts via a public signup form is both unnecessary and dangerous, as anyone who acquired a staff account would potentially have access to sensitive areas of the web site. To avoid these kinds of errors and streamline the collection of appropriate information in the Kavi Members database, the purpose of each company or user is determined first. Once this is known, Kavi Members will manage each user and company and collect information according the user's or company's purpose.

User and Company Purposes Defined

The purposes for a company are:

Member Company

A company with full membership privileges as defined by the organization bylaws. Member companies have memberships with the organization that expire and must be renewed.

Nonmember Company

A company without formal membership privileges or an expiration date.Nonmember companies may one day become member companies.

Company for Individuals

Company defined for the purpose of grouping individuals, used to track work-related information for individual members or individual nonmembers.

Staff

A company working on behalf of the organization to support its administrative needs. Staff companies are typically vendor companies, and are not official members of the organization.

The purposes for a user are:

Company Representative

A person who gains access through their company, is a contact for the company, and acts on behalf of the company to secure a return on the company's investment in the organization.

Individual Member

A user with full membership privileges as defined by the organization bylaws. Individual members have memberships with the organization that expire and must be renewed.

Individual Nonmember

An individual without formal membership privileges or an expiration date and who is independent of any member companies. Nonmembers may one day become individual members.

Staff

A user working on behalf of the organization to support its administrative needs. Example staff users may be administrative assistants and executive directors.

How User and Company Purposes Relate

Each user must be matched with a company that has a compatible purpose. While this may sound overly complicated, it's really just common sense: staff users work for staff companies, and company representatives are representing member companies. Kavi Members enforces this matching to help identify which record is the "master record", or, whether it is the company or the user that gets the membership.

The arrows in the diagram above show that members can be switched to nonmembers and back again as needed. Once added, a company or user that has been assigned to any of the other purposes can only be switched by a super administrator.
