Chapter 10. Member and Company Representative Signup

New Member Signup

Every organization has a set of business rules that govern who can acquire a membership and how membership applications are processed. Kavi Members has tools that help the organization define and automate these rules.

Steps in the Membership Signup Process

The application process for new members and renewing members can be broken into two basic steps, moderation and billing. Both steps are optional. The order of these steps and whether a membership application is sent through one or both steps is determined during configuration of the membership workflow.

Moderation

A moderation step allows the organization to hold a membership application in a pending state until all the requirements for that membership are met. Membership applications can be held for moderation simply so administrators can review applications for completeness and accuracy. Applications may also be held for moderation if applicants must sign legal forms or perform other duties to establish their eligibility. For example, administrators can update applications in the moderation queue to record the receipt of legal forms, or record the result of a board vote on a new member's acceptance into the organization, prior to passing the application through the moderation step by approving or denying the application.

Billing

Membership applicants can be presented with an online invoice for membership fees, and may also be able to pay for their membership online with a credit card. Once a membership invoice is paid, the membership application will automatically advance to the next stage and the applicant will receive an online receipt for their records.

Communicating about a Membership Application's Status

Once a membership applicant completes the application form, the applicant is sent to a page that shows the status of the membership application (i.e., whether the application is pending moderation or current). This status page can be bookmarked, or added to an applicant's favorites, to make it easy to return to the page later and view the progress of their membership application through the application process.

Company Representative Signup

When a user signs up for a company representative account, the application may be checked against the list of accepted domains for the user's company. An organization administrator may also review and moderate company representative applications for new accounts. Alternatively, the organization may choose to accept all applications for company representative accounts without any performing any checks, essentially opening up the organization so that anyone who wants one can have a login to protected areas of the web site.
