The User Data Report tool is used to create customized reports listing all the users in the database or only those users meeting specified search criteria, such as users from a specific company or of a certain type. Data reports show real-time content of the user database. The report can be printed or downloaded to the report administrator's computer.

Search for a user or set of users by setting any or all of the optional fields to refine the search criteria. To view all available users, leave the search fields set to the default values. If you set search criteria in more than one field, the results will only show users that match all search criteria.
Note
Depending on the path you took to this page, the Search and Select steps may have been accomplished through another tool, in which case you will not see the forms described in these first two steps.
Options
- Name or Email

Enter a full or partial value for the first name, last name, username or email address of the user or group of users whose information you want to view, or leave this field blank to see all users who meet your search criteria. To increase the number of potential matches, expand the search by entering a partial value in this field and consider leaving other search fields set to the default values. To reduce the number of potential matches, provide more complete values in this field and consider setting other fields to further restrict the search.
Because the Kavi Members search functionality can perform partial matches, it is flexible and can serve many purposes. Here are a few examples:
Want to find all users who share an email domain? Enter just the domain portion of the email address.
Unable to find a user by name or email address? Perhaps it has been misspelled. Enter the first few letters of the name or email address and try the search again.
Not sure if the person for whom you are searching is named Dan Johnson or John Danson? You could enter 'Dan'—or 'John'—to find this individual.
- Company
Set this value to search for users by the company with which they are associated. The default is 'Any Company.'
- Company Administration and Contact Type
Set this value to search for users who have a specific company administration and contact type. This can be one of many default company contact types (e.g., 'Admin', 'Marketing', 'Primary Contact', etc.) or a company contact type specific to this organization.
- User Type
Set this value to search for users who have a specific user type. If set to the default value, 'All User Types', the search results will not be restricted by type.
- Purpose
Set this value to search for users who have a specific type of purpose. This can be 'Company Representative', 'Individual Member', 'Nonmember' or 'Staff or Administration'. If set to the default value, 'Any Purpose', the search results will not be restricted by purpose.
- Current Status
Set this value to search for users with this status type. This can be 'Active' or 'Inactive', or use the default value 'Any Status' to retrieve both active and inactive users.
A User Data Report is displayed according to the search criteria you provided. User data in this report is displayed as one user per line. Download the report to see all available user data. Each column heading shows the name of a field as it is recorded in the database. Most field names are similar to the labels seen on Kavi Members pages.
Fields that may not be familiar from Kavi Members pages include:
- item_key
A unique identifier assigned to each user in the database tables.
- status
This value is either 'active' or 'inactive', and indicates whether the user has access privileges to protected areas of the site.
- display_publicly
1 indicates a 'Yes' answer to the question 'Display Publicly', and 0 indicates a 'No'.
- receive_email
1 indicates a 'Yes, send me email' answer to the question 'Receive Email Distributions', and 0 indicates a 'No'.
- deactivation_date
The date on which this user's membership was deactivated, resulting in a status of 'inactive.'
- last_modified
The date of the most recent change of this user's information.
Options available on the report are:
- Print-Ready
Removes the look and feel of the web site surrounding the report and scales the displayed report for printing.
- Download

Select a file format and download the data in this report to a file on your computer.
Available file formats are:
- Comma-Separated-Values (CSV)
File format used to transfer data from one application to another. Each record comprises one line, with values for that record separated by commas (e.g., first name, last name, email address).
- Excel Spreadsheet
Spreadsheet file created by, and which can be opened and manipulated by, Microsoft Excel.
- Pipe Delimited (available on most reports)
File format used to transfer data from one application to another. Each record comprises one line, with values for that record separated by pipes, (e.g., first name | last name | email address).
